To take bookings on WhatsApp without double-booking, keep one calendar, write every booking into it before you confirm, and let nobody promise a time from memory. With a few bookings a day you can do that by hand. Past that, a booking link that shows only the free times, and checks again as it books, does it for you. This guide covers both: the habit, the messages to send, the rules worth setting, and how appointment booking on WhatsApp works with a booking page.
Why double bookings happen
A double booking is rarely carelessness. It is two people, or one person twice, promising the same time before it was written down:
- Two people answer the same number, and both offer “5 pm tomorrow”.
- One time is offered to two customers, while the first is still deciding.
- Bookings live in several places: the chat, a phone call, a paper diary, someone’s memory.
- A change made in the chat never reaches the diary. The customer moved to Thursday, the diary still says Tuesday, and Thursday looks free.
- There is no gap between bookings, so one that runs late collides with the next.
The habit that prevents them
One calendar, and the calendar decides. A paper diary works, and so does any shared calendar, as long as everyone who takes bookings can see it and nothing is promised that is not already in it.
- 1Look before you offer. Open the calendar first, then reply.
- 2Offer two or three exact times, not “when are you free?”. “Tuesday 11 am or Wednesday 4 pm?” gets one answer.
- 3Write the time down as held, then confirm. While a customer decides, the time is taken. Give the hold an end: “I’ll keep 11 am for you until 6 this evening.”
- 4Confirm in one message that has everything: the service, the day and date, the time, the place and how to change it.
- 5When a booking moves, change the calendar first, and tell the customer second.
- 6Free a cancelled time at once, so that it can be offered again.
Messages you can copy:
- Confirmation: “Hi Kavya, your haircut at [Business name] is booked for Tuesday 27 October at 11:00 am, at [your address]. Reply here if you need to change it.”
- Reminder, the day before: “Hi Kavya, a reminder of your haircut tomorrow, Tuesday, at 11:00 am. Reply here to move or cancel it.”
- A hold that ran out: “Hi Kavya, I have released the 11 am time as I didn’t hear back. Tell me a day that suits you and I’ll send what is free.”
Rules to set before you take bookings
Most clashes are settled by rules you decide once and then stop thinking about:
| Rule | Why it matters |
|---|---|
| How long each service takes | A long job is never booked into a short gap |
| A gap after each booking | Room to overrun, clean up or travel |
| How much notice you need | Nobody books ten minutes from now |
| How far ahead you take bookings | A diary you can still plan around |
| Working hours and closed days | No bookings on your day off |
| How many customers at the same time | One chair, or three? |
Write the rules where everyone who takes bookings can see them. A rule that only one person knows is not a rule.
Reminders, and what to do about no-shows
- Remind the day before, and again shortly before anything where being late matters.
- Always say how to move or cancel. A customer who cannot come, and has an easy way to say so, gives you the time back.
- Write down who did not come. After a few weeks you can see which days and which services it happens on.
- Keep a reminder a notice. No offers in it.
If you send reminders through the WhatsApp Business API, that last point is Meta’s rule as well as good manners. More than 24 hours after a customer’s last message, a business can only send a template that Meta has approved (Meta: pricing), and a reminder counts as a utility message only while it carries no promotion (Meta: template categories).
When a booking link is better than chat
The by-hand habit holds up to a point. Move to a booking link when:
- more than one person takes bookings;
- customers ask for times at night, when nobody is there to check the calendar;
- the back-and-forth takes longer than the booking is worth;
- you have had a clash in spite of the habit.
A booking page shows only the times that are free, so nobody has to ask. The customer picks one and is booked at once, with the confirmation in writing.
How a booking page on WhatsApp works in Fliok
- 1Switch on Bookings and add one thing customers can book: its name, how long it takes, and where it happens.
- 2Check your hours and rules. A new calendar is open Monday to Saturday, 9 am to 6 pm, with start times every 30 minutes, 2 hours of notice and bookings up to 60 days ahead. Add a gap after each booking, your closed dates, and how many customers you can serve at the same time (1 to 50).
- 3Share the link in a chat, in your bio or as a printed QR code.
- 4The customer picks a service, a day and a free time, gives their name and WhatsApp number, and is booked.
- 5The confirmation and the reminders go from your own WhatsApp number and by email: 1 day before and 1 hour before unless you change them, each with a Manage booking button.
How it stops a double booking: the page offers only the times that are free, and the time is checked again in the same step that saves the booking. If two people press Book on the last place at the same moment, one gets it and the other is told “That time was just taken. Please pick another.” Your team can add a walk-in outside working hours, but never into a time that is already full.
A few things worth knowing:
- Customers move or cancel their own booking with the Manage booking button, until it starts. The reminders start again from the new time, and the link stops working 30 days after the booking ends.
- Your team sees every booking on the Bookings page, and marks each one Completed or No-show once its time has passed.
- It is part of the Basic plan and above, with a monthly limit on bookings: 500 on Basic, 2,500 on Pro and unlimited on Enterprise. Meta bills its message charges to your own WhatsApp account, and Fliok adds nothing to them.
- An advance can hold the slot. Switch it on and a booking is confirmed once the customer has paid you: through your own payment gateway, or to your UPI ID with your team confirming that the money arrived. A slot that is not paid for goes back on offer by itself.
- Each person can have their own calendar. Add the people who take bookings and customers choose who, or anyone available; nobody is booked twice.
- What it does not do: it does not sync with Google Calendar, it has no waiting list and no weekly repeats, and it never moves money: an advance is paid straight to you, and a refund is sent by you.

Frequently asked questions
Can customers book an appointment on WhatsApp?
Yes. By hand, you offer two or three exact times in the chat and confirm one in writing. With a booking link, the customer opens your booking page from the chat, picks a free time and is booked at once, and the confirmation and reminders arrive on WhatsApp.
How do I stop double bookings?
Keep one calendar that everyone who takes bookings can see, and write a booking into it before you confirm it. Treat a time you have offered as taken until the customer answers or the hold runs out, and change the calendar first whenever a booking moves.
What should a booking confirmation message say?
The service, the day and date, the time, the place, and how to change or cancel. Send it as one message, so the customer can find everything in one place, and repeat the time in the reminder the day before.
When should I send appointment reminders?
The day before, and again shortly before anything where being late matters. In Fliok a new calendar sends reminders 1 day before and 1 hour before, each with a Manage booking button, and you can change when they go.
Can a customer reschedule or cancel on their own?
With Fliok’s booking page, yes: the Manage booking button in their messages lets them move or cancel until the booking starts, under the same rules as a new booking. Your team gets a notification, and the link stops working 30 days after the booking ends.
Can the booking page take an advance?
Yes, if you switch it on. Fliok’s booking page then keeps the time for the customer while they pay you directly, through your own payment gateway or to your UPI ID, and gives it back by itself if they do not. Fliok never holds the money, and a refund is always sent by you.
