Getting started
9How do I connect my WhatsApp number?
Create an account, then follow Meta’s embedded signup from the onboarding screen: sign in with Facebook, pick or create your business portfolio and WhatsApp Business Account, and connect the number. A number that is already on the WhatsApp Business App can be connected in coexistence mode, so the app keeps working on your phone. One number per workspace: to use a second number, remove the first in Settings → WhatsApp or create another workspace for it.
How do I get the green tick on WhatsApp?
The green tick is Meta’s Official Business Account badge, shown today as a blue checkmark beside the business name, and only Meta grants it, one phone number at a time. You can ask for it in WhatsApp Manager once the business portfolio is verified, the number’s display name is approved, two-step verification is on and the number has been on the platform for 30 days; Meta reviews each request and decides. Fliok cannot apply for you or speed up the review, and you do not need the badge: templates, broadcasts, chatbots and the AI agent all work without it. Settings shows each number’s display name status and quality, so you can check you are in good standing first.
Will you help me set up?
Yes. Onboarding assistance is included on every plan, Free too. If you get stuck connecting your number, submitting a template, setting up the CRM or the AI agent, write to us and a person helps you through it. Steps that happen inside Meta, such as business verification and template review, are decided by Meta.
Do I have to stop using the WhatsApp Business App?
No. With coexistence your number runs on the API and in the Business App at the same time. Replies sent from the phone appear in the Fliok inbox, your contacts sync, and up to six months of chat history can be imported. Linked WhatsApp Web and desktop sessions are signed out when you connect, and you need to open the app at least once every 14 days.
How do I get my contacts in?
Anyone who messages your number is added automatically, and with coexistence the contacts saved in your Business App sync across. From the Basic plan you can also import a CSV on the Contacts page, and leads from website forms and lead portals arrive through your lead-capture URL.
How do I make my business page?
Open Business page in the menu, check what it says about you, switch on the buttons you want, press Save and then Publish. It is on every plan, the Free plan too, and an admin or the owner sets it up. Your page is one public page for your business, for your Instagram bio, your visiting card and a QR code on your counter. It shows your name, a line about what you do, and buttons. A button appears only when it is switched on and has something behind it: Chat on WhatsApp needs a connected number, Call needs the number you type, Get directions needs your address, and Instagram needs a connected account. You can add 2 links of your own on Free and 6 on Basic and above; a link must start with https://, and visitors see the name of the site next to it. The right side of the screen shows your page exactly as a visitor will see it while you type. Nothing is public until you press Publish, and Unpublish takes it down at once. To publish, your workspace must have its own WhatsApp number connected to Fliok: you can prepare the page before that, but it goes public only once the number is connected. The Share tab has your link and your QR code, as a picture for your phone and as a file a print shop can use. If you change your page’s address later, the old address keeps opening your page, so a printed QR code never stops working; a workspace can hold 5 addresses in all. On Basic and above the page can also show an enquiry form, and a QR code of your UPI ID for people who want to pay you. That payment goes from the customer’s UPI app straight to you: Fliok does not receive the money and is not told about it. Search engines are asked not to list your page unless you switch that on, which is part of Basic and above. The Visits tab counts how often your page was opened and each button tapped, without cookies and with nothing about who visited. Every page has a Report link, and Fliok can take down a page that breaks its rules.
How do I build an enquiry form?
Open Business page, then Forms, press New form and pick one of the 5 starting points: an enquiry, a callback request, an admission enquiry, a quotation request or feedback. Change the questions, press Save and then Publish. Forms are part of Basic and above. Every form asks for a name and a phone number, because the number is what makes an answer a lead. You can add short and long answers, one choice, several choices, a date, a number, an email address and a box to tick with your own sentence beside it. There are no file uploads, no payments inside a form and no questions that depend on an earlier answer. Each form has its own link and QR code under Share, and it can be the “Send an enquiry” button on your business page. An answer arrives as a lead with the answers on its timeline; if that number is already a lead, the answer is added to it and no second lead is made. You can give a form’s leads to one team member, add tags, and be told in the bell and on your phone. Fliok does not send your customer a WhatsApp message because they filled in a form. You can offer a “Continue on WhatsApp” button after they send it, and the customer starts that chat themselves. Under the Send button every form says that the answers go to you, by name, and links your privacy policy if you gave one. To collect permission for offers, add the “WhatsApp updates tick”. Its sentence is the same on every form and cannot be reworded, it is never ticked for the customer, and only people who tick it are marked as opted in. Basic keeps 5 forms and takes 1,000 answers a month across them; Pro keeps 25 forms and takes 5,000. One form takes at most 200 answers in a day and then pauses until the next day, and you are told. Answers can be downloaded as a CSV file.
Can my team share the number?
Yes. Invite teammates and give each a role: owner, admin, agent or viewer. The Free plan has 1 seat; Basic includes 6 (the owner plus 5 teammates) and Pro 15 (the owner plus 14). Enterprise has no seat limit.
Can I limit what a team member sees or does?
Yes, on any plan with more than one seat. Open Settings, then Team, and choose Restrictions on that person’s row. Each switch takes one thing away from what their role allows, in your workspace only: Hide customers' numbers: a customer’s phone number and email address are shown hidden, like +91 ••••• •••10, everywhere that person looks in Fliok: the inbox, Leads, Contacts, bookings, bills, search, alerts and exports. They can still reply, send templates, book and bill. Calling, copying a number, downloading a bill’s PDF and copying the customer’s link to a bill are off for them, and a search finds a customer by the whole number only. A number a customer types inside a message stays as written, and Fliok cannot hide what another app or website shows. Only their own chats and leads: an agent or viewer sees the leads they own and the chats assigned to them, and is alerted about those customers only. No exports or downloads: no CSV or report downloads, and no new API keys, webhooks, connected apps, automations or bots, because each of those can copy your customer list out. No sending to many: no broadcasts and no automatic follow-up campaigns. Replying to one customer at a time still works. No deleting: nothing can be deleted by them. No money: Invoices, quotations, payments, the customer ledger, Costs, ad spend and Billing are closed to them, and a lead’s deal value is hidden. Prices of your services and products stay visible. The owner can restrict anyone except another owner. An admin can restrict agents and viewers. Nobody can change their own. It applies from the person’s next click, they see a note saying what is switched off, and every change is in the activity log.
Templates and broadcasts
8When do I need a template?
To start a conversation, or to message someone whose 24-hour customer service window has closed. Inside that window you can send free-form replies without a template (Meta charges them per message at its utility rate since 1 October 2026). Templates are created in Fliok, submitted to Meta, and the approval result is synced back.
Why was my message not delivered?
The analytics page groups failures by the reason Meta returned. The common ones: the 24-hour window had closed (send a template instead), a template variable was blank (131008), a template with a media header was sent without the media (132012), the recipient had reached Meta’s limit on marketing messages (131049), or the number is not on WhatsApp.
Why does Meta lock or ban a WhatsApp number, and how does Fliok help me avoid it?
Meta restricts a WhatsApp account when it breaks Meta’s rules, most often by messaging people who never agreed to hear from the business. Meta’s rule is that you may only message people who gave you their number and agreed to get messages from you, and it says that someone messaging you first has not agreed by doing so. It acts when a business sends spam, labels promotional templates as account notices, or is blocked and reported by many of the people it messages. Meta says it warns the account first; after repeated violations its blocks get longer: 1 or 3 days without template messages, then 5, 7 or 30 days without any messages, then an account lock that only an appeal removes, and finally the account can be disabled for good. Fliok helps you stay clear of this, and never limits messages to people who have messaged you. It cannot see who agreed, so it treats people who have messaged you, or whose opt-in is recorded, as people who know your business, and is careful with everyone else. You record an opt-in on the contact itself, or with a consent column when you import contacts. A broadcast of account notices or login codes goes only to people who know your business. A marketing broadcast to people who have never messaged you asks you to confirm that they agreed, then goes out gradually: at first up to 50 of them a day from each number (or a tenth of Meta’s daily limit for that number, if that is more), doubling after each day that delivery stays healthy, with the rest going out by themselves from 10:00 the next morning. If many of the first messages cannot be delivered or are held back by Meta, Fliok stops the broadcast for those people. Someone who has never messaged you and has not replied is not sent another broadcast for 7 days, and after Meta locks, bans or warns your account these broadcasts pause for 14 days. Those numbers are Fliok’s own choices: Meta publishes the rules, not the thresholds. If Meta does refuse a message for this reason, or reports a number as banned, Fliok stops sending from that number at once so no more messages are refused, stops any broadcast that was running without charging for the people not yet messaged, and shows the number as Banned by Meta or Sending blocked by Meta on Home and in Settings. It starts sending again by itself once Meta lifts the block. To ask Meta for a review, sign in to Meta Business Suite, open All tools, then Business Support Home, choose your WhatsApp account, pick the violation and press Request review. Meta says a review typically takes 24 to 48 hours, and that it does not accept an appeal for every spam violation. While you wait, do not keep trying to send and do not send the same list from another number.
How many people can I message?
Your plan sets how many messages Fliok sends for you a month: 100 on Free, 10,000 on Basic, 100,000 on Pro and no limit on Enterprise. Broadcasts count toward that allowance; they start on Basic, and no paid plan caps how many you create. Meta separately limits how many different people you can start conversations with in 24 hours: new businesses start at 250. To reach 2,000 you verify your business with Meta, or have 2,000 messages delivered to different people within 30 days using templates with a high quality rating, and Meta then checks your message quality. After that Meta raises it by itself each time you have used at least half of it in the last 7 days while your messages stay high quality.
How do I keep my WhatsApp number healthy?
Number health, in the menu, shows whether each of your numbers can send, what Meta says about it, and what to do about it, most urgent first. Everyone in the workspace can open it. Meta gives each number a quality rating of High, Medium or Low. It comes from how people received your messages over the last seven days: blocks, reports, mutes and the reason people give when they block you, with recent messages counting most. To keep it high, message only people who agreed to hear from you and send marketing less often. A lower rating does not reduce your daily limit, but it stops the limit from growing. Meta also limits how many different people your business can start a conversation with in any 24 hours; replies to people who wrote to you in the last 24 hours do not count. New businesses start at 250. To reach 2,000, verify your business with Meta, or have 2,000 messages delivered to different people within 30 days using templates with a high quality rating; Meta then checks your message quality before it raises the limit. After that it goes up by itself, to 10,000, then 100,000, then no limit, each time you have used at least half of it in the last 7 days while your messages stay high quality. All your numbers share the limit. Number health shows how much of it is used today. Meta rates each template too. When people react badly to one, Meta pauses it for 3 hours, then for 6 hours, and the third time disables it. A paused or disabled template cannot be sent, so any broadcast or automation that uses it fails. Meta can also move a template to another category, which changes what each send costs. Number health shows how yesterday’s and the last seven days’ messages fared, with each reason a message failed in plain words. Two are worth knowing. Meta limits how many marketing messages one person receives from all businesses and holds back the rest: nothing is wrong with your number, so send marketing less often and wait at least 24 hours before trying the same people again. And a message to a number that is not on WhatsApp cannot be delivered, so remove those numbers from your lists. Fliok rings the bell once when Meta lowers a number’s quality rating or its limit, when Meta pauses or disables a template or moves one to marketing, when 30% or more of a day’s messages from a number fail (once at least 50 have a result), and when 80% of the daily limit is used. Those figures are Fliok’s own choices; Meta publishes none.
What is the difference between marketing and utility messages?
Marketing templates promote something; utility templates update a customer about something they already did, such as an order or a booking. Meta prices them differently and can reclassify a template during review, so choose the honest category.
Are there ready-made templates I can start from?
Yes. The template library in your dashboard has 43 ready-made templates written to Meta’s rules, including Indian festivals, orders, bookings, reminders and re-engagement. Open one, rename it, swap in your own details and submit it; Meta still reviews every template. One-time passcode templates are not in the library, because Meta approves them only in its own fixed format.
Can I see what is scheduled to go out?
Yes. The broadcasts page has a month calendar of every scheduled and sent broadcast. Open one from its day, or pick a future day to start a broadcast scheduled for it.
Inbox and automation
6How do I send an away message when we are closed?
Open Auto replies under Automation in the sidebar. There are three, on Basic and above: a welcome message for new customers (and for returning ones after a quiet spell you choose), an away message outside the working hours you set, and a delayed-response message when a customer has waited during working hours for longer than you choose. Each goes to a customer at most once in 24 hours, none is sent while a chatbot is answering, and none counts as your team’s first response.
How do I stop getting new chats when I am off?
Switch yourself to Away with the Available / Away switch in the sidebar. Auto-assign and the CRM’s lead routing skip you until you switch back, and chats already assigned to you stay yours. Admins can change it for anyone in Settings, Inbox & CRM. If everyone is away, new chats stay unassigned where the whole team can see them.
Do replies I send from the WhatsApp Business App count?
Yes. With coexistence, a reply typed on your phone appears in the same thread, marked as sent from the phone, and counts as an answer: the chat stops waiting, and response times and waiting alerts treat it like a reply from the inbox. Replies written by the AI agent are marked “Fliok AI”, and auto replies are marked too.
Does the inbox have keyboard shortcuts?
Yes. Press ? in the inbox to see them, or pick Keyboard shortcuts from a chat’s More menu. j or ↓: next chat (↓ while in the chat list); k or ↑: previous chat (↑ while in the chat list); Enter or o: open the highlighted chat; r: write a reply; e: resolve the open chat, or reopen it; a: assign the open chat to me; u: mark the open chat as unread; /: search chats; Esc: leave the reply box, close a menu or panel; ?: show these shortcuts. They never fire while you are typing a reply or a search, or with Ctrl, ⌘ or Alt held, so your browser’s own shortcuts keep working.
Is there a WordPress plugin?
Yes. One plugin adds a WhatsApp chat button to your site, sends every form on it to your CRM as a lead, and sends WooCommerce order updates on WhatsApp. The chat button works on every plan; form leads and order messages need Basic or above. To set it up, open Settings, Integrations and WordPress plugin in Fliok, and press Download plugin. It is a .zip file; do not unzip it. In WordPress go to Plugins, Add New, Upload Plugin, choose the file, install it and activate it. Then open Settings, Fliok in WordPress and press Connect to Fliok; on the page that opens, pick your workspace and approve. There are no keys to copy. If your host blocks that step, an admin can make a connection key in Fliok and paste it into WordPress under Settings, Fliok. It works with Contact Form 7, WPForms, Gravity Forms, Elementor Pro forms, Fluent Forms, Ninja Forms, Formidable Forms, Forminator, JetFormBuilder, Everest Forms, MetForm, Kadence Forms and WS Form. Only an entry with a phone number becomes a lead, and a number already in your CRM is updated, not added twice. Order messages use your own approved templates, and Meta’s per-message charges apply. Cart reminders go only to shoppers who ticked the WhatsApp box at checkout, and never after 24 hours. The button needs a WhatsApp number connected to Fliok.
The AI agent
7Which plans include the AI agent?
Basic, Pro and Enterprise. It is not included on Free. Each AI reply is paid from a prepaid wallet, separate from the plan. Rule-based chatbot flows and WhatsApp Flows are not AI and are on Basic and above too.
What does the AI cost?
Each AI reply that is sent costs ₹0.50, paid from a prepaid wallet that is separate from your plan. Other AI features, such as reply suggestions or template drafts, cost between ₹0.05 and ₹1.00 per use. You top up from ₹100. When the wallet is empty the AI pauses; everything else keeps working. Prices exclude 18% GST. AI prices changed in October 2026: a workspace that already had an AI wallet keeps the earlier rates (₹0.10 a reply) until 20 November 2026.
How do I stop the AI answering a conversation?
Reply yourself from the inbox and the AI steps aside on that conversation. You can also pause it on a single chat, or turn it off for the whole workspace with the AI switch in the sidebar (admins and owners).
Can the AI set itself up from my website?
It can draft its business facts from it, during onboarding or later. In Settings, AI, choose Draft from my website and enter your address: Fliok reads your main pages (about, pricing, FAQ, policies) and drafts the facts the AI answers from. Nothing is saved until you tick the parts you want and apply them, and by default only empty fields are ticked, so what you already wrote is kept. Like the AI itself, it is on Basic and above and paid from the AI wallet.
Can I ask Fliok about my business on WhatsApp?
Yes. In Settings, under Your account, switch on Ask Fliok on WhatsApp, then message your business number from your own WhatsApp number. Fliok AI answers you there instead of treating you as a customer: who has not paid, what is booked today, which chats are waiting for a reply, how the last broadcast did. It answers in English, Hindi or Hinglish, says what date the figures are for, and adds a link to the screen with the details. It only reads. It cannot send, pay, publish, cancel or change anything from WhatsApp; ask for one of those and it gives you the link to do it yourself. It sees what your role sees in the app, and it shows a customer’s phone number as its last four digits. It reads typed messages only, not voice notes or pictures. Your questions and its answers are yours alone: nobody else in the workspace can read them, and they are deleted after 30 days, or sooner if you delete them in Settings. You can also have a daily brief at a time you choose: money to collect, today’s bookings, new leads, chats waiting for a reply and anything that needs your decision. It comes in the app (and by push or email if you choose), and on WhatsApp as well if you ask for that. On a day with nothing to say it is skipped. What it costs: each answer is ₹0.20 from the workspace’s AI wallet, and one person can ask up to 30 questions in 24 hours. The brief costs nothing from the wallet. Meta bills your WhatsApp account for the messages sent to you, like any other message from your number; the settings screen shows the rate before you switch it on. What it needs: a plan with the AI agent (Basic and above), the AI switched on for the workspace, and your own WhatsApp number confirmed on your Fliok profile. That number cannot be the business’s own number, because WhatsApp does not deliver a message from a number to itself. On a number you also use in the WhatsApp Business app, the chat with Fliok AI appears in that app like any other chat, so anyone who uses that phone can read it. To see your business number as a customer does, send /customer and your messages are treated like a customer’s for 30 minutes; send /assistant to come back. If you change the number on your profile, or do not use the assistant for 60 days, it switches itself off until you switch it on again. An admin can switch it off for the whole workspace. If Ask Fliok on WhatsApp is not in your settings, write to us and we will set it up with you.
Can Fliok AI look things up on the web?
Yes. Fliok AI can search the web and read pages in two places, each with its own switch: the assistant in your dashboard, and replies to customers. In the Zusta AI Assistant: switch on Web research under the message box. The assistant can then search the web and read pages to answer you, for example what others in your city charge, a public rule or deadline, or what a page you link to says. While it works it says what it is doing, and its answer lists the pages it used as numbered sources you can open. The switch is yours alone, in each workspace, and stays as you left it. It starts off, so nothing reaches the web and nothing is charged until you switch it on. For anything about your own business (your chats, leads, orders, templates) the assistant uses your workspace, not the web. In replies to customers: when a customer sends a link, or asks the AI agent to look something up, the agent reads that page or searches the web before it replies, so it knows what the customer means. It never takes your prices, offers or policies from the web. A reply written this way is marked “looked up on the web” in your inbox; the customer is not told. An owner or admin can switch this off on the AI assistant page, and the agent then never opens a link or searches: it asks the customer instead. What leaves your workspace: the search words, or the address of the page being read, and nothing else. A search is refused if it contains a phone number, an email address, an ID or tax number, the full name of someone in your contacts, or a run of words copied from your chats. The assistant can open only a page from its own search results or a link you typed yourself. What comes back is treated as information, never as instructions: a web page cannot make the assistant send, change or delete anything, and whatever it proposes after reading the web still waits for your approval, with a note on the card saying so. What it does not do: sign in to websites, read pages behind a login, open files, or keep browsing by itself. Some pages cannot be read, and a search result can be wrong or out of date, so open the sources for anything that matters. What it costs: in the assistant, each search and each page read costs ₹0.20 from the workspace’s AI wallet, with at most 3 searches and 4 pages for one question. A search that finds nothing, a page that cannot be read, and anything refused cost nothing. A workspace can run up to 100 searches and 150 page reads in 24 hours. Look-ups in replies to customers cost nothing extra: they are part of the price of the reply. Prices exclude 18% GST. Who can use it: web research in the assistant needs a plan with the AI agent (Basic and above) and is for owners, admins and agents. An owner or admin can switch it off for the whole workspace on the AI assistant page, where they also see what was searched and read, by whom and when.
What is the Zusta AI Assistant?
An assistant inside the dashboard, on every plan: press ⌘J (Ctrl+J on Windows) and ask in plain words. It looks things up across your workspace, and for anything that changes or sends something (a task, a template, a broadcast, a message, a WhatsApp Pay request) it shows a card with exactly what will happen and waits for your approval. Owners and admins can also ask roughly what Meta will bill for WhatsApp this month. Once Instagram is connected, the assistant reads DMs, comments, posts and insights, and with your approval replies to a DM or a comment, hides a comment or schedules a post your team drafted. It never deletes anything on Instagram, never creates or publishes ads and never changes billing. A card works once and expires after 10 minutes, and riskier actions ask you to type “delete” first. The assistant works with your own role and plan, in your workspace only; how many messages each person can send it a day depends on the plan.
Catalog and ads
8How do I set up my product catalog?
Open Catalog in the sidebar and connect with Facebook. Pick the catalog you already have in Meta, or create a new one, and Fliok links it to your WhatsApp number. Then add products in Fliok or bring in the ones already in your catalog; every change is mirrored to Meta. The catalog is on every plan; if Catalog is not in your sidebar yet, ask us and we will set it up with you.
Why can’t I send products from my number?
Meta refuses product messages from a number shared with the WhatsApp Business app (coexistence), so sending products needs a number connected to the Cloud API only. Fliok tells you before you send. Customers can still send carts from the catalog they see on a shared number, and those orders arrive in the inbox. Like any free-form reply, a product message also needs the customer’s 24-hour window to be open.
Where do customers’ orders go?
A cart a customer sends arrives in their conversation as an order, with each item, its quantity and price, and the total. Reply in the same chat to confirm delivery. To take the payment there too, send a WhatsApp Pay request (Basic and above, India), and the customer pays without leaving WhatsApp.
Can customers pay inside WhatsApp?
Yes, with WhatsApp Pay, on Basic and above, for businesses in India, in rupees. Create a payment configuration with Razorpay or PayU in WhatsApp Manager, then add it in Settings, Integrations, WhatsApp Pay (an admin does this). From a chat, tap Request payment, add the items and send: the customer taps Review and pay, pays by UPI, card or netbanking, and the request turns Paid. A request can only be sent inside the customer’s 24-hour window, and the money goes straight to your own gateway account.
Can I create Click-to-WhatsApp ads in Fliok?
Yes, on Basic and above. On the Ads page, connect your ad account and Facebook Page, then create an ad: who sees it, a daily budget, an image, a video or a carousel, and the message customers send you. It is saved paused, and nothing is spent until an admin publishes it and confirms the budget. The Ads page then shows spend, conversations, cost per conversation and the leads each ad brought in. An ad can be a single image, a video or a carousel. A video runs 3 to 60 seconds, is square (1:1), portrait (4:5) or landscape up to 1.91:1, and is at least 600 pixels wide; Fliok takes video files up to 100 MB. A carousel has 2 to 10 cards people swipe through, each with its own headline and a square picture of at least 600 × 600 pixels, a square video of up to 60 seconds, or a product from your catalog. Every card’s button opens the chat. Fliok checks these limits as you add each file, so a file Meta would refuse is caught before the ad is made. Catalog ads aren’t available for ads that open a chat. Meta runs catalog ads only to websites, not to chats. To show your products, make a carousel and add them from your catalog.
Can one ad open WhatsApp or Instagram Direct?
Yes, with the WhatsApp + Instagram ads add-on, on Basic and up: ₹499/month in India, excluding 18% GST, or $9/month outside India, and 10% less billed yearly. It needs the Instagram add-on too, because the ad runs as your Instagram account. You add both yourself — tick them while choosing your plan, or later in Plan & billing, under Add-ons; each is its own subscription next to your plan, and you can cancel either any time. Then open WhatsApp + Instagram ads in the menu. It is one ad with one daily budget, and its button opens a chat with you in WhatsApp or in Instagram Direct. Meta decides, for each person, which of the two apps to open. Your Click-to-WhatsApp ads and Instagram ads stay on their own pages. It needs your Facebook ad account connected on the Ads page, your Instagram account connected, and a WhatsApp number of this workspace linked to the same Facebook Page as your Instagram account. The page says which of these is missing. Like every ad made in Fliok, it is saved paused, and nothing is spent until an admin publishes it and confirms the budget. Ad spend is paid to Meta from your own ad account. Chats that open in WhatsApp land in your inbox, and chats that open in Instagram Direct land in your Instagram inbox. The page shows spend, chats started and cost per chat for the ad as a whole. If the Instagram add-on ends, the WhatsApp + Instagram ads section closes; its subscription is not cancelled by itself, so cancel it in Plan & billing if you no longer want it.
How do I tell Meta which ad leads became customers?
Connect the Meta Conversions API, on Basic and above, and Fliok reports what became of each Click-to-WhatsApp ad lead to your own Meta dataset. An enquiry, a quotation and a sale are each reported, so the ad is credited with more than the tap. An admin sets it up in Settings, Integrations, Send results back to Meta. The simplest way is the switch "Use my WhatsApp connection": Fliok reads, or creates, the dataset Meta keeps for your WhatsApp Business Account with your WhatsApp connection, so there is nothing to paste, and Instagram Direct ad chats can be reported too. Meta is still reviewing Fliok’s access for this; until it is approved, use the other way. The other way: in Meta Events Manager, pick the dataset connected to your WhatsApp account, not the pixel named after your website (a website pixel cannot receive conversions from chats), generate an access token under Settings, Conversions API, and save the dataset ID and the token in Fliok. Fliok sends a test event when you save and tells you if the dataset cannot take them. The token is stored encrypted and never shown again. With a test event code set, events show under Test Events so you can check them; Meta still uses them for targeting and measurement, so test with a few, and clear it when you are ready. Three outcomes are reported, once each for a conversation: a lead who gave their requirements, a quotation, and a sale. The first two come from the status Fliok AI gives a conversation as it answers. A sale is also reported when a payment is recorded on the lead or someone moves the lead to a Won stage. Only chats that started from a Click-to-WhatsApp ad are reported. The customer’s number is sent as a hash, an amount only when one is known, and no name or message text. Meta accepts an event up to 7 days after it happened; an older outcome is set aside, not sent. Fliok reports what happened; what Meta’s ad delivery does with it is decided by Meta.
Can Facebook and Instagram lead form answers come into Fliok?
Yes, on Basic and above: answers to the instant forms on your Facebook and Instagram ads arrive in your CRM as leads. Each lead shows the form, the ad and the campaign it came from, and its source says Facebook Lead Ads or Instagram Lead Ads. It uses the Facebook Page you chose on the Ads page. An admin opens Settings, Integrations and Facebook Lead Ads, checks that the Page shows Receiving leads, and picks for each form which question fills the name, phone, email, city or one of your own contact fields. Every answer is also kept on the lead’s timeline. You can set the stage and the owner for new leads from a form; otherwise they start in your first stage and follow your lead routing rules, and the owner is notified. If the card asks you to reconnect, your Meta ads account was connected without permission to read leads: reconnect it on the Ads page. If your Page restricts who can see its leads, add Fliok as a CRM in Meta Business Suite, under Settings and Leads Access. Until then Meta does not share the answers with Fliok. A lead needs a phone number, so a form answered without one is not added. A number already in your CRM is updated, not added twice, and the same form answer is never added twice, even when Meta sends it again. Import past leads brings in a form’s leads from the last 90 days, because Meta keeps no older ones. Imported leads are never sent a WhatsApp message. You can switch on an instant WhatsApp follow-up for a form; it is off until you do. Choose an approved template and the question on your form that asks whether you may contact the person on WhatsApp. The message goes only when they answered yes and gave a valid number. It counts toward your plan’s monthly messages, nothing goes to someone who opted out, and messages to new people pause for a while after Meta restricts one of your numbers. When the follow-up was not sent, the lead’s timeline says why.
Invoices and bookings
17How do I send my first invoice?
Switch on Invoices & receipts, add your business name, then press New invoice: the bill goes to your customer on WhatsApp and by email. It is part of Basic and above, and an admin switches it on once. To switch it on, an admin opens Settings, Integrations and the Invoices & receipts card. Your business name is the only detail it needs; add your address, logo, UPI ID, bank details and GSTIN when you want them on your bills. Fliok then creates the WhatsApp messages that carry your bills on your own WhatsApp account and sends them to WhatsApp for approval. Emails work straight away, and until WhatsApp approves a message, that message goes by email only. To make a bill, open Invoices and press New invoice, or open a lead and press New invoice there. Pick a contact or type a new customer’s name, WhatsApp number and email, add each thing you sold with its quantity and price, and check the due date (leave it empty and the bill is due the day it is issued). Tick Already paid if the customer paid on the spot: they then get the invoice with its receipt, never a request for money. Before you send, the form shows where the bill will go: the WhatsApp number, the email address, or why one of them cannot be used. Press Issue and send. The bill gets its number, for example INV/26-27/0042, and goes from your own number as a PDF with a View invoice button, and by email with the PDF attached. Save as draft keeps it without a number until you are ready. From the invoice’s own screen you can record a payment, send it again, copy the customer’s link, edit it, stop its reminders, or press Repeat this bill to have it raised every month. The same form makes a proforma or a quotation: choose Invoice, Proforma or Quotation at its top.
How do I send a quotation, and what happens when it is accepted?
Open Invoices and press New quotation: the customer gets a PDF with a link where they accept it, ask for a change or decline. A quotation has its own numbers, such as QUO/26-27/0007, says “This is a quotation, not a tax invoice.” under its title, and never takes money itself. On the form, add what you are quoting for. Mark a line Optional and the customer can add it when they accept; it stays out of the total until they do. Under How it is paid for, choose Full amount, Advance or In parts: 2 to 8 parts, each due on acceptance, on a date, or when something you name happens. Valid until is needed to send one; a new quotation is valid for 15 days unless you change that in the settings. On the quotation’s page the customer ticks any optional items, types their full name and presses Accept quotation, or chooses Ask for a change or Decline. Your team is told each time. Fliok records the name typed, the date and time, and which version was accepted; it is a record of the yes, not a digital signature. If you press Revise, the customer has to accept the new version. Once it is accepted, open the quotation and raise the bill for each part, as an invoice or a proforma. In the settings, When a customer accepts starts as “Tell me, and I raise the bill”; “Raise and send the bill by itself” bills what falls due on acceptance at once and a dated part on its day. A part that waits for something to happen is always billed by you. From there each bill is an ordinary one, with its own number, its own page with the ways to pay, and its own reminders. One follow-up goes 2 days before the valid date to a customer who has not answered, and nothing is sent after that date. On WhatsApp a quotation goes as an ordinary message while the customer’s chat is open. Otherwise it goes as a marketing message, at Meta’s marketing rate: a customer who has stopped marketing messages gets it by email only, and so does one who got another marketing message from you in the last 48 hours. The form says which it will be before you send. A quotation counts as one of your plan’s bills and quotations for the month, and so does each bill raised from it.
What is the difference between editing, cancelling and voiding?
Edit changes a bill and keeps the old copy, Cancel withdraws a bill for good, and Void undoes a payment you recorded by mistake. Edit an issued invoice or proforma, and saving makes a new version with the same number. The earlier version stays in the Versions list as it was sent, with what changed and who changed it, and you choose whether the customer is sent the updated copy. Once money has been received on a bill, only its notes, the customer’s reference, the due date and their email, phone and address can change. Cancel marks the bill Cancelled for you and for the customer, and asks for a reason. Its number stays in your records and is not used again, its PDF is stamped Cancelled, and no message goes to the customer. Only an admin can cancel, it cannot be undone, and a bill with money received on it cannot be cancelled until that payment is voided. Void is for a payment, not for a bill: the amount stops counting as received and the invoice shows a balance again. The receipt keeps its number and is marked Void, and nothing is sent to the customer. Only an admin can void a payment, and it asks for a reason. Delete is only for drafts, which have no number yet. An issued bill is never deleted, and a bill is always dated the day it is issued: it cannot be back-dated. To change the amounts or items on a bill that has a payment, void the payment first, or cancel the bill and issue a new one. A quotation has its own words for the same things: Revise makes a new version, which the customer must accept afresh, and Withdraw quotation takes it back. Once a bill has been raised from an accepted quotation it can no longer be revised or withdrawn; cancel that bill first, or use Quote again for a fresh one.
How do my customers pay an invoice?
Every bill shows what is owed and how to pay it: a UPI QR for the exact amount, your bank details, and Pay online through your own Razorpay account. An admin sets these up once in the business details, under Getting paid: your UPI ID, and your account holder name, account number, IFSC and bank name. With a UPI ID, a bill in rupees carries a QR code on its PDF and on its page, and on a phone the page also has a Pay with a UPI app button. The QR and the button are always for the exact balance, so a part-paid bill asks only for what is left. Pay online appears on the bill’s page once your own Razorpay account is connected under Settings, CRM, Payments. The customer pays on Razorpay’s page by card, UPI or net banking; the payment is recorded on the invoice by itself and the receipt goes out. A UPI or bank payment does not tell Fliok that it happened, so record it yourself with Record payment: the amount, how it was paid, the date and a reference. Every payment gets a receipt with its own number, sent on WhatsApp and by email unless you untick it. Part payments are fine, and TDS the customer deducted comes off the balance too. The money always goes straight to you: Fliok never holds it. What your bank or your gateway charges is between you and them.
How do payment reminders work?
Fliok reminds a customer about an unpaid invoice around its due date, and stops the moment the invoice is paid or cancelled. By default the reminders go 3 days before, on the due date, 3 days after, 7 days after and 14 days after. Each reminder goes once, between 10 am and 7 pm in your workspace’s time zone, on WhatsApp and by email. The balance is checked again at the moment of sending, so a customer who has paid is not chased, and a part-paid invoice is reminded for what is left. Nothing is sent on the day an invoice is issued, and a reminder that is more than 2 days late is dropped rather than sent late. To change them, an admin opens Settings, Integrations, Invoices & receipts, then Payment reminders. Switch them off, remove a reminder, or add one from 30 days before to 90 days after the due date, up to 8 in all. To stop them for one invoice, open it and press Stop reminders. Reminders about a proforma count from its valid-until date and go by email only. The WhatsApp reminder is a short message with a View invoice button. Its wording is fixed and carries no offer, because Meta treats a notice that also promotes something as a marketing message. To remind one customer yourself, open Invoices, Who owes you and press Remind: one message about their oldest unpaid invoice, whatever the ladder says. The reminder that goes before a recurring bill runs out is a different message, described under billing a customer every month.
How do I bill a customer every month?
Set up a recurring bill: Fliok raises the bill on each date and sends it, and your customer pays it the usual way. It is not an auto-debit: Fliok never takes money from your customer’s card, bank account or UPI by itself. Each bill carries the same pay link and UPI QR as any invoice. Open Invoices, the Recurring tab, and press New recurring bill; or open an invoice and press Repeat this bill. Say what it is for (your customer reads this), who it is for and what each bill contains, as on an invoice. Under How often choose every week, every month, every 3 months, every 6 months, every year, or every few months; the form lists the first dates. A bill set for the 31st is raised on the last day of a shorter month. Each bill is an invoice, or a proforma first, and Pay within sets how many days the customer has. How it ends: Until I stop it, After a number of bills, or On a date. Sending starts as “Check the first one, then send by itself”: the first bill is made as a draft, and once you have sent it every later one is issued and sent on its date. You can instead send every one by itself, or have each one made as a draft for you to check. On a recurring bill’s own page you can Edit it (a change applies from the next bill), Skip next bill, Pause, or Stop it for good. A bill that was not raised within 7 days of its date, for example while it was paused, is listed as missed, and you choose to raise it or skip it: a gap never turns into a burst of bills. Every bill it raises counts toward your plan’s bills and quotations for the month. If those are used up, the bill waits and is raised by itself on the 1st, or as soon as you upgrade, and the Recurring tab warns you before that happens. For one that has an end, such as a yearly membership, renewal reminders go 30, 15 and 7 days before its last day, on WhatsApp and by email, with what the renewal comes to and a bill to pay. When the customer pays that bill, it is renewed for one more term. On WhatsApp the renewal reminder goes as a marketing message, at Meta’s marketing rate, so a customer who has stopped marketing messages gets it by email only. The bills themselves and their payment reminders are utility messages.
Who has not paid me, and how do I send a statement?
Open Invoices and the Who owes you tab: it lists every customer with something unpaid, what they owe and how late it is. At the top are four figures: Owed to you, On invoices, From before and Overdue. Under them the money is split by age: not yet due, 1–30 days, 31–60 days, 61–90 days and over 90 days, counted from each invoice’s due date. The list can be sorted by Most owed, Oldest first or Name. Remind sends that customer one reminder about the invoice that has waited longest, from your own WhatsApp number and by email, with the link to the invoice and the ways to pay. The dialog shows what will be sent, and where, before you press Send reminder. Open a customer to see their account: every bill and payment, oldest first, with the balance after each. A voided payment or a cancelled bill is not removed; a second line takes it back, so an older statement still adds up. If the customer already owed you money before you started billing here, enter it once as an Opening balance; money received against it is recorded like any other payment. Statement makes a statement of account for this month, last month, this or last financial year, or dates you choose: the balance brought forward, each bill and payment, what is still to pay, and your UPI QR and bank details. It is made first, as a PDF, for you to look at; press Send when you are ready, or tick Send it to the customer when it is ready. A statement shows the account as it stood on the day it was made, and its link works for 90 days. For your accountant, an admin presses Export for accountant and downloads two CSV files for a period: Invoices (the sales register) and Payments. They are lists of what you billed and received; they are not a tax return. Only invoices are counted in what a customer owes. A proforma and a quotation are not.
How does GST work on my bills?
Your bills carry GST only if you say you are registered for it; a new business starts as Not registered for tax, with no tax on its bills. An admin chooses how the business is registered in the business details, under Tax. Registered for GST: your invoices are tax invoices, GST is added on each line and your GSTIN is printed. GST composition scheme: your invoices are bills of supply, no tax is shown and your GSTIN is printed. Not registered for tax: no tax is shown and no tax number is printed. Outside India the choices are Another sales tax, with one rate per line under the name you give it, such as VAT, or Not registered for tax. When you are registered for GST, each line takes a rate from 0 to 40% (0, 5, 18 and 40 are one tap), prices are entered before tax, and you can add an HSN or SAC code to a line. You choose the customer’s state, or enter their GSTIN: the same state as yours gives CGST and SGST, another state gives IGST. Fliok checks your GSTIN’s check digit and that it matches your state, and bills with GST are in rupees. What it does not do: it does not produce e-invoices (an IRN or a signed e-invoice), e-way bills, credit or debit notes, or GST returns. If you tick that your yearly turnover is above ₹5 crore, the settings remind you that e-invoices are made on the e-invoice portal, not in Fliok. The sales register exports as a CSV with the taxable value and the CGST, SGST and IGST of each bill, for your accountant. Fliok works the tax out from what you enter. It is not tax advice: ask your accountant how your business should bill.
How do I set up my booking page?
Switch on Bookings, add one thing customers can book, and share the link: the page takes bookings and sends the confirmations and reminders. An admin opens Settings, Integrations and the Bookings card, and switches it on. It needs your business name, and either a connected WhatsApp number or an email address in your business details. Your page gets an address made from your business name, which you can change (small letters, numbers and hyphens); links and QR codes you already shared stop working when you change it. The page opens as soon as it has one service. Add Appointment (30 minutes) with one tap, or add your own: a name, how long it takes, an optional price, how it happens (in person, phone call, video call or other) and where. A price is only shown to the customer, unless you ask for an advance to hold the slot. Then check Working hours and Booking rules. A new calendar is open Monday to Saturday, 9 am to 6 pm, with start times every 30 minutes, 2 hours of notice and bookings up to 60 days ahead. Give a day two sets of hours for a break, list your closed dates, leave a gap after each booking, and say how many customers you can serve at the same time (1 to 50). On the Bookings page, Share booking page shows the link and a QR code you can download and print. Customers pick a service, a day and a time, give their name and WhatsApp number, and are booked. If you have added the people who take bookings, the page first asks Choose who; if the service asks for an advance, the booking is confirmed once that is paid. Confirmations and reminders (1 day before and 1 hour before, unless you change them; up to 4 reminders) go from your own WhatsApp number once WhatsApp has approved the messages Fliok creates on your account. Until then they go by email, to customers who gave an address.
Can I take an advance for a booking?
Yes. Switch on Ask for an advance, and a booking is confirmed once the customer has paid; until then its time is kept for them. An admin sets it up in Settings, Integrations, Bookings, under An advance to hold a slot. It needs a way to be paid first: your UPI ID in the business details, or your own payment gateway connected. The money is paid straight to you and never passes through Fliok. How much to ask is a fixed amount for every booking, a share of the service’s price, or nothing unless a service has its own advance. Each service can follow that rule, ask for its own amount or ask for nothing. On your booking page the customer picks a time and has 15 minutes to pay, unless you change that; if they do not, the time goes back on offer by itself. When your team adds a booking and asks for the advance, the time is kept for 24 hours and the customer gets a message with a View and pay button. With a payment gateway, the payment confirms the booking by itself. With a UPI ID, the customer scans the QR, pays and taps I’ve paid; the booking then waits under Payments to check, where you press Money arrived or No money came. You have 12 hours to check, unless you change that, and the time stays theirs meanwhile. Before paying, the customer reads your cancellation policy. It starts as: “You get this advance back if you cancel at least 24 hours before your booking. After that, or if you do not come, it is not refundable.” You can change the time limit, make the advance not refundable, and add a note in your own words. Fliok never sends a refund. A cancellation that is owed one shows as Refund to make on the Bookings page: send the money back yourself, then press Mark as refunded. A customer who does not come loses the advance, and when you cancel a booking yourself the advance is always owed back. If Invoices & receipts is switched on, every advance gets a receipt there by itself; if your bills show tax, each one is left as a draft for you to set the tax and issue as already paid.
How do I add Zoom links to my bookings?
Connect your Zoom account once, and every booking of a video-call service gets its own Zoom meeting, made in your account so you host every call. To add Zoom: an admin opens Settings, Integrations and the Zoom card, presses Connect Zoom, signs in to Zoom and presses Allow. Fliok asks Zoom only for what it needs: to create, move and delete the meetings it makes for your bookings, and to read your Zoom user’s name and email so it can show which account is connected. To use it: open a service in Bookings, Services, choose Video call and set its link to Zoom. Each booking of that service gets a Zoom link as soon as it is confirmed, and the link goes out in the confirmation and in every reminder. When a booking moves to a new time, its meeting moves with it; when it is cancelled, Fliok deletes the meeting. Meetings follow your own Zoom plan, including how long a meeting on a free Zoom account can last. To remove Zoom: an admin opens the Zoom card in Settings, Integrations and presses Disconnect, or you remove Fliok from your Zoom account in the Zoom App Marketplace (Manage, then Added Apps). Either way Fliok deletes its connection to your Zoom account at once, including the access Zoom gave it, and makes no more Zoom links. Meetings it already made stay in your Zoom account, and bookings keep the links they were sent.
Can customers pick a staff member?
Yes. Add the people who take bookings, and your booking page asks Choose who, with Anyone available as one of the choices. An admin adds them in Settings, Integrations, Bookings, under People who take bookings: up to 50 people, or rooms, chairs and courts. Each one has their own hours inside your opening hours, their time off, and the services they do. A person can be linked to a team member’s sign-in, and that team member can then record their own time off. Each person takes one customer at a time, and nobody is booked twice. A booking for Anyone available goes to whoever is free with the fewest bookings that day; a tie goes to the fewest that week, then to the order of your list. Switch off Let customers choose who and the page only asks for a time. A service that nobody is set for stays on the shared calendar, where Customers at the same time says how many you can serve at once. With nobody added at all, your bookings share one calendar. On the Bookings page, the Calendar tab shows a day or a week, for everyone or for one person. Your team can add a booking with a person, with Anyone available or with No one yet, and can give a booking to someone else later. Adding time off, or switching someone off, never cancels a booking. The bookings it touches are listed as Bookings to move, and you give each one to someone else or move it to another day. A person who still has bookings ahead cannot be removed until those are moved. Messages name who the booking is with, such as “Haircut with Riya”, unless you switch that off.
How do reschedules, cancellations and no-shows work?
A customer can move or cancel a booking with the Manage booking button in their messages, until the booking starts; your team can do the same from Bookings. A customer’s new time follows the same rules as a new booking, the link stays the same, and the reminders start again from the new time. When a customer books, moves or cancels, your team gets a notification unless you switch Tell your team off. The link stops working 30 days after the booking ends. Your team (agents and above) can Reschedule or Cancel any booking; a reason you give when cancelling goes into the customer’s cancellation email. The customer is told about a new time or a cancellation on WhatsApp and by email while the booking is still ahead; nothing is sent about a time that has passed. A cancelled booking can be brought back with Bring back while a place is still free at its time. Once a booking’s time has passed it is listed under How did these go? Mark it Completed or No-show so your records stay right; either can be undone. The customer is not messaged about these, and they are written on the lead’s timeline. For a walk-in or a late slot, your team can add a booking outside working hours, notice or a closed date with the Outside working hours switch. A time when you are already full is still refused. Where a booking has a paid advance: a no-show keeps it, and a customer who cancels in time, or a booking you cancel yourself, shows as Refund to make on the Bookings page. A customer who moves the booking after the free-cancellation time keeps the booking, but no longer gets the advance back if they cancel later; the page tells them before they move.
How do review requests work, and why can’t I hide bad ones?
Switch a request on and each customer gets one message after they pay an invoice, or after their visit, asking how it went. Both requests are off until an admin switches one on. Open Invoices or Bookings, press Reviews and go to When to ask: After an invoice is paid, and After a visit. Unless you change it, a customer is asked 2 hours later once an invoice is paid in full, or the next morning once a booking is marked completed, between 10 am and 7 pm. However often they pay or visit, they are asked at most once in 30 days. The message names that invoice or that visit and has a Share feedback button. It opens a short page: a rating from 1 to 5 and room for a comment. Only your team sees the answers, on the Reviews page, with the average rating and the figures by service. A low rating, 3 or lower unless you change it, also adds a notification and a follow-up task for your team with the customer’s comment, so you can put it right. Note what was done and it stops showing as still to look at. You can paste the link to your public review page. Every customer who answers is then shown it, in the same words, whatever rating they gave. That is on purpose, and there is no setting to show it only to happy customers: Google’s rules for reviews do not allow a business to ask only for positive reviews or to discourage negative ones, nor to offer anything in return for a review. Fliok never writes or posts a review, and what a customer writes on that page is up to them. Some bills are never asked about: a proforma or a quotation; an advance or a part-bill of a quotation, until the last part is paid; and the monthly bills of a recurring bill, where only the renewal bill is asked about. The advance paid for a booking is not asked about either; the visit is, once it is marked completed. Nothing is asked about a payment or a visit from before you switched the request on.
Why did my customer not get the WhatsApp message?
Open the invoice or the booking and look at what was sent: every message that did not go says why, and the email still goes when there is an address. The usual reasons, in the screen’s own words. Waiting for WhatsApp to approve the template: the messages Fliok created on your WhatsApp account are still in review, or one was rejected; each one’s status is in the feature’s settings, and nothing is needed from you. No WhatsApp number is connected: your number is not connected or not active, for example while Meta has restricted it. The customer has no WhatsApp number: none was typed on the bill or the booking. This customer is not on WhatsApp: they are an Instagram contact. The customer opted out of messages, or is blocked. This month’s message allowance is used up. A quotation, its follow-up and a renewal reminder go as marketing messages, so they have two more reasons. This customer got a marketing message from you in the last 48 hours, so another was not sent on WhatsApp so soon; or the customer has stopped marketing messages. Ask them to message you, since a quotation goes as an ordinary message while their chat is open, or copy the link and send it yourself. Some customers write to you under a WhatsApp username, without sharing their number. A bill made out to such a contact still goes to their chat, and so do the messages of a booking your team makes for them; a booking made on your booking page is messaged at the number typed there. A message that was sent can still fail at WhatsApp, for example when the number is not on WhatsApp; it then shows Could not be delivered. If Meta has restricted your number, nothing can be sent from it until Meta lifts the restriction. Email has its own reasons: no address, an address the mail server refused before (edit the address to try again), or this month’s customer emails used up.
What are the limits on invoices and bookings, and what counts?
Invoices and bookings are part of Basic, Pro and Enterprise, each with a monthly limit; they are not on Free and are not add-ons. Bills and quotations issued: 300 on Basic, 1,500 on Pro and unlimited on Enterprise. Invoices, proformas and quotations count. A bill counts when it is issued, and still counts if you cancel it later; an invoice made from a proforma counts as a second one. A quotation counts once, when it is first sent, and each bill raised from it counts as one of its own; so does each bill a recurring bill raises. Drafts, receipts, edits, resends, reminders and statements do not count. Bookings made: 500 on Basic, 2,500 on Pro and unlimited on Enterprise. Bookings from your page and bookings your team adds both count, whatever became of them; moving a booking, or bringing a cancelled one back, does not count again. A time that was held for an advance that never came is not counted. Customer emails: 1,000 on Basic, 5,000 on Pro and 25,000 on Enterprise a month, shared by both features, one for each address an email goes to (a bill can go to up to 3 addresses). WhatsApp messages count toward your plan’s monthly message allowance instead, and Meta bills them to your own account. Three of these messages go as marketing messages, at Meta’s marketing rate, because each makes an offer: a quotation, its one follow-up, and a renewal reminder. Every other one, from an invoice to a booking reminder, goes as a utility message. The month is the calendar month in UTC, so in India the count starts again at 5:30 in the morning on the 1st. Invoices, Bookings, their settings and Plan & billing show how many are used this month and when the count starts again. From 80% of a month’s bills and quotations or bookings, the Invoices and Bookings pages show how many are left and the owner and admins get an alert; they get another when the month’s are used up. At a limit nothing is deleted: new bills and quotations cannot be issued, or your booking page asks customers to contact you directly, until the 1st or an upgrade. When it is the bookings, the owner and admins are also told each time a customer is turned away, at most once an hour, with how many tries were turned away that day. A recurring bill that finds the month’s bills and quotations used up waits, and is raised by itself on the 1st, or as soon as you upgrade. At the email limit, emails stop and WhatsApp messages carry on. Recording payments, cancelling, exports and everything already made keep working. Pro gives 1,500 bills and quotations and 2,500 bookings a month, and an upgrade takes effect at once. On Basic, customer pages and PDFs carry “Powered by Fliok” and emails “Sent with Fliok”; Pro and Enterprise carry neither.
Can a bill show names in Hindi, Bengali or Tamil?
Yes, in 8 Indian scripts: a name, an address or an item typed in one of them prints that way on the PDF. Hindi and Marathi (Devanagari), Bengali, Gujarati and Tamil print exactly as written. Punjabi (Gurmukhi), Telugu, Kannada and Malayalam print too; a few rare letter combinations are drawn in a plainer form, and they still read correctly. Odia, Urdu and other scripts, and emoji, are not printed yet and come out as empty boxes on the PDF, so write those names in English. This is about the PDF. The bill’s page in the customer’s browser shows whatever you typed. The WhatsApp messages themselves are in English with fixed wording, and the app’s screens are in English; you can reword the subject and opening line of each email.
How do I connect Instagram?
Connect a WhatsApp number first, then open Settings, Integrations and continue with Facebook. Pick your Instagram professional account (business or creator) and the Facebook Page it is linked to, with access to messages allowed in the Instagram app. Instagram is an add-on on Basic and up, and a workspace has one Instagram account.
What does the Instagram add-on cost?
Instagram is an add-on on Basic and up: ₹499/month in India, excluding 18% GST, or $9/month outside India, and 10% less billed yearly. It covers the Instagram DM inbox with AI replies, comment replies and automations, posts and scheduling, insights and Instagram ads. It is its own subscription next to your plan, and you can cancel it any time. You add it yourself: tick “Add Instagram” while choosing your plan, or add it later in Plan & billing. AI replies on Instagram are paid from the AI wallet, as on WhatsApp. Workspaces that already had Instagram keep it at no extra charge.
Can the AI answer Instagram DMs?
Instagram Direct has its own inbox in Fliok, and the AI assistant you use on WhatsApp can answer there too. It replies in plain text while Instagram’s 24-hour window is open, follows the same switches (the workspace AI switch, each chat’s own switch and your AI hours), hands the chat to your team when someone asks for a person, and is paid per reply from the same AI wallet. Your team can reply with text or a photo. Chatbot flows and auto replies are WhatsApp only for now. Instagram has no templates, so once 24 hours pass since a customer’s last message you can’t write to them there. The AI therefore asks once, at a natural moment, for their WhatsApp number (you can switch this off on the AI page). A number they send is saved on the contact with a Message on WhatsApp button, and if you pick an approved template, Fliok sends it to that number straight away, at Meta’s usual per-message rate.
Can I schedule Instagram posts, reels and stories?
In the Instagram section’s Posts page, publish a photo, a carousel, a reel or a story now, or schedule it up to 75 days ahead. Everything planned and posted shows on the calendar. Agents can save drafts; an admin or the owner publishes and schedules. If Instagram refuses a post, Fliok tries again and then tells your team. Photos, carousels and reels can have up to 3 collaborators and the paid partnership label, photos take alt text, a reel can be a trial reel shown to people who do not follow you first, and anything but a story can have a first comment. Adding a location and tagging people or products are not supported yet.
Can Fliok reply to Instagram comments?
Comments and @mentions arrive in one list, where your team replies in public or sends one private reply by DM. You can also hide or delete comments on your own posts. AI replies to new comments are off until an admin switches them on in AI controls; then the AI answers new top-level comments once each, keeps prices out of public replies unless your instructions allow them, and can send the details in a DM when someone asks about price. It skips spam, complaints, emoji-only comments, tags and links.
What Instagram automations does Fliok have?
Instagram automations send a reply on their own, each with its own switch, from the Automations page of the Instagram section. Comment to DM answers people who comment a keyword on one post or any post, with a public reply if you want one and a DM. Live comment to DM does the same while you are live; Live comments are answered by DM only and are not kept in Fliok. DM keyword answers words like PRICE, or someone writing to you for the first time; story reply and story mention automations thank people; ice breakers are questions people tap to start a chat. Link to DM gives you an ig.me link with a code of your own for your bio, an ad or a QR code, and whoever opens it gets the DM you set. A comment DM can ask people to follow you first: Fliok checks when they tap “I’m following”, and after three checks, or if Instagram cannot say, it sends the DM anyway. A new comment automation can also go back to matching comments from the last 7 days with “Send to earlier comments”, once per person and with no public reply. Every 15 minutes Fliok also checks your newest posts for comments Instagram failed to pass on, and answers those from the last 48 hours.
How do I pick Instagram giveaway winners?
Open Giveaways in the Instagram section, pick one of your 24 latest posts and set the rules for a fair draw. Rules can ask for a keyword, a number of tagged friends (up to 5) and one entry per person, and leave out up to 200 usernames, such as your team. Fliok reads up to 20,000 comments and draws up to 20 winners and 10 backups at random. Every draw is saved with its rules, and you can DM the winners in one go: each gets one private reply to their winning comment, which Instagram allows within 7 days of it.
What Instagram insights and ads does Fliok have?
Insights cover 7, 28 or 90 days in two halves: what happened on Instagram in Fliok, and Instagram’s own numbers. In Fliok shows DMs received, replies by the AI, your team and the Instagram app, the median time to a first reply for the AI and for your team, chats waiting right now, what the AI did on comments (and the comments it left for your team), chats handed to a person, what Instagram AI replies cost from the wallet, comments answered, hidden and deleted, posts published, scheduled and failed from Fliok, and new Instagram leads. From Instagram shows followers, views, reach, interactions and your top posts, and once the account has 100 followers, your audience and the best time to post. Ads can boost one of your posts, which keeps the post’s own format (a photo, a video or reel, or a carousel), or open a chat in Instagram Direct with an image, a video or a carousel; every ad is saved paused, an admin publishes it and confirms the budget, and Meta bills the spend to your own Facebook ad account.
Can I track Instagram competitors?
Yes: Competitors in the Instagram section shows up to 10 public business or creator accounts next to your own, with followers and how they changed over 7 and 30 days, posting pace, likes, comments, engagement and where you rank on each. Below the table, Top posts lists their best posts of the last 30 days and marks the ones that did twice their usual, Hashtags shows the ones they use and whether you do, and When they post shows the weekdays and times they post on your workspace’s clock. Tap an account for its own page: formats, weekly pace, follower history and every post read. Export saves the table or a list as CSV. In What’s working, Fliok’s AI writes a brief on what works for them and what you could post, paid from your AI wallet; it uses only the numbers on the page. Fliok reads each account’s last 50 posts once a day, or when you refresh, at most once an hour. Follower changes appear once Fliok has watched an account that long. Instagram shares these numbers only for public business and creator accounts, and like counts an owner has hidden show as hidden, never as zero.
What does the LinkedIn add-on cost?
LinkedIn is an add-on on Basic and up: ₹499/month in India, excluding 18% GST, or $9/month outside India, and 10% less billed yearly. It covers LinkedIn posts and scheduling for your profile and company pages, Events, page insights, ad results, the Ad Library and outreach, with Fliok AI to write posts, events and ad copy. It is its own subscription next to your plan, and you can cancel it any time. You add it yourself: tick “Add LinkedIn” while choosing your plan, or add it later in Plan & billing. Outreach planned by Fliok AI is paid from the AI wallet.
How do I connect LinkedIn?
Once the LinkedIn add-on is on, an admin opens Settings, Integrations, LinkedIn, clicks Connect LinkedIn and signs in on LinkedIn’s own screen. Fliok never sees your password and works only through LinkedIn’s official APIs. To post as a company page, connect a page you administer; to see ad results, tick the ad accounts Fliok should report on. One LinkedIn member is connected per workspace.
Can I schedule LinkedIn posts from Fliok?
Yes, as yourself or as a company page you administer. A post can be text, one photo or 2 to 20, a video, a document (PDF, PowerPoint or Word), a link or a poll, with up to 3,000 characters of text. Publish it now, save a draft or schedule it from 2 minutes to 75 days ahead. Photos can be up to 10 MB; videos and documents up to 100 MB.
How do LinkedIn Events work in Fliok?
Create a LinkedIn event from Fliok, online with a link to where it happens or in person with the address, then share it as a post. It can start from 10 minutes to 365 days ahead and run up to 14 days, and you can change it until it starts. The connected member is the organiser. LinkedIn Live is not offered.
What LinkedIn numbers does Fliok show?
Page insights show your company page’s followers, new followers, page views, post impressions and engagement by day, for 7, 30 or 90 days; LinkedIn’s numbers settle a day or two late, so the period ends yesterday. Below them, Who follows you and Who visits your page split your followers and page views by job, seniority, industry, company size and country; LinkedIn rounds these and leaves out small groups. On the Ads page, each LinkedIn campaign shows spend, impressions, clicks, leads and conversions, and who saw the ads, next to how many LinkedIn leads your CRM got and won in the period. You can pause or resume a campaign there. The Ad Library searches LinkedIn’s public ads, job posts and brand partnerships.
How does LinkedIn outreach with Fliok AI work?
Describe who you want to reach and Fliok AI turns it into LinkedIn ad targeting, matched to LinkedIn’s own lists, and shows about how many people match. It then writes a message ad, created paused, whose Chat on WhatsApp button opens a chat on your number with the first message filled in. Nothing is spent until you publish the ad in LinkedIn. Chats land in your WhatsApp inbox, and Fliok counts opens, WhatsApp taps, chats and meetings. Planning is paid from the AI wallet. Reading results works for any ad account; to create ads in one, our team adds that account to Fliok first. Fliok never sends LinkedIn messages or connection requests from your account.
Account and apps
4How do I sign in?
At fliok.com/signin, with Google, a one-time code sent to your email, or a code sent to your WhatsApp number. There is no password to remember. New to Fliok? Sign up at fliok.com/signup with Google, or with your name, WhatsApp number and email. An account created with an email code is not linked to a Google login automatically, so keep using the method you signed up with.
Can I leave Fliok and keep my WhatsApp number?
Yes. Your WhatsApp number and your WhatsApp Business Account belong to you and live with Meta, not with us, and so do your approved templates. Closing your Fliok account disconnects them from Fliok; it does not delete them, and you can connect them to another provider afterwards. Export any contacts or chats you want to keep before you close the account, and any unused AI wallet balance is refundable.
Is there a mobile app?
Yes, on every plan. On Android, download the app from the sign-in page while its Google Play listing is on its way. On iPhone and iPad, open Fliok in Safari and choose Share, then Add to Home Screen. On Windows and Mac, Chrome and Edge offer to install it as an app. Turn on push notifications to hear about new messages; on iPhone they work once Fliok is on your Home Screen.
Can I run more than one business from one login?
Yes. Each business gets its own workspace, with its own WhatsApp number, team, contacts and plan, and you switch between them from the workspace menu. You can own up to 10 workspaces. If someone invites you to their workspace, it is added to your login and your own workspaces stay as they are.
API, AI apps and Google Sheets
7How do I get my leads and invoices into Google Sheets?
Connect Google Sheets, and Fliok adds each new lead, invoice, payment and booking as a row to a spreadsheet in your own Google account. It is part of Automation & CRM, on Basic and above, and only an admin can connect it. Open Settings, Integrations and the Google Sheets card, and press Connect Google Sheets. You sign in to Google and allow it there; the only permission asked for is to create and use this one spreadsheet. Fliok makes one new spreadsheet in your Google account, named “Fliok” and your workspace’s name. It can open only the spreadsheet it made, and cannot see your other files. Under What to write there is a switch for each list: New leads, New contacts, Invoices, Payments received, Bookings. Each has a tab of its own (Leads, Contacts, Invoices, Payments, Bookings), with a heading row Fliok writes once, and times are in your workspace’s time zone. Invoices and Payments carry the columns an accountant asks for. Rows are only ever added, never rewritten: when an invoice is paid or a booking is moved, a new row says what happened. Your own columns, notes and sorting are left alone. A voided payment is added as a new row with a minus amount, so the column still adds up. It writes out to the sheet and reads nothing back, so what you type in the spreadsheet does not come into Fliok. It does not write into a spreadsheet you already have, and there is no tab for quotations or reviews. To send leads into Fliok from a sheet or a form, use the lead-capture link instead. If the spreadsheet is deleted or Fliok’s access is removed at Google, the card shows Needs attention and says what to do: connect again, put the spreadsheet back, or start a new one. Rows are kept meanwhile for up to 14 days and written once it is put right. Disconnecting stops new rows and removes Fliok’s access at Google; your spreadsheet stays in your Google Drive with everything already in it.
Which plans include the REST API?
Pro and Enterprise, along with signed webhooks and the audit log. An admin creates an API key in the dashboard (it can be given an expiry date and revoked at any time) and calls the endpoints with it as a Bearer token.
How do I check a webhook really came from Fliok?
Every delivery is signed with HMAC-SHA256 over the timestamp and the raw request body, using your endpoint’s secret. Recompute the signature on your side and compare. The API documentation has the exact headers and working examples in Node.js, Python and PHP.
How do I use Fliok from Claude?
Add Fliok to Claude as a custom connector, sign in to Fliok and approve what Claude may do; then ask about your WhatsApp chats, templates and leads. In Claude, on claude.ai or in the desktop app, add a custom connector with the address https://fliok.com/api/mcp. Claude sends you to Fliok to sign in, where you see what it asks to do and approve it. Then ask in plain words, for example “show today’s unanswered chats” or “send the order-update template to this customer”. It is on Pro and Enterprise, the plans with the REST API. Everything the AI app does goes through the same permissions, plan limits, staff restrictions and audit trail as Fliok’s API. No money moves through it: it cannot buy a plan, top up the wallet or change how you pay. To stop it, revoke it in Settings → Integrations → AI apps, or remove the connector in Claude.
How do I use Fliok from ChatGPT?
Turn on ChatGPT’s developer mode, add Fliok as a custom connector, then sign in to Fliok and approve what ChatGPT may do. Developer mode is offered on some ChatGPT plans only, and whether ChatGPT may carry out actions that change things, such as sending a message, can depend on your ChatGPT plan. That is ChatGPT’s setting; Fliok can’t change it. In developer mode, create a connector with the address https://fliok.com/api/mcp, sign in to Fliok when asked and approve it. Then pick the Fliok connector in a chat and ask in plain words. It is on Pro and Enterprise. Everything the AI app does goes through the same permissions, plan limits, staff restrictions and audit trail as Fliok’s API. No money moves through it: it cannot buy a plan, top up the wallet or change how you pay. To stop it, revoke it in Settings → Integrations → AI apps.
How do I connect Cursor or another AI app with an API key?
Create a Fliok API key with only the scopes the app needs, then give the app Fliok’s MCP address and the key. This is how Cursor, Claude Code, Codex CLI and Gemini CLI connect, Grok through xAI’s API, and agents such as OpenClaw and Hermes. A workspace admin creates the key on the API keys page, and a key never does more than its role allows. The address is https://fliok.com/api/mcp, and the app sends the key as “Authorization: Bearer wa_…”. The MCP guide has the exact configuration for each app. If a tool is missing, the key lacks its scope: the guide’s tool list names the scope each tool needs. If the app says it is not authorised, the key was revoked or has expired, so create a new one. It is on Pro and Enterprise. Keep the key out of shared code and chats, and revoke it at any time in Settings → Integrations → AI apps or on the API keys page.
Can I use Fliok from Telegram?
Yes, through an AI agent that runs in Telegram, such as OpenClaw or Hermes, with Fliok added to it as an MCP server. Fliok has no Telegram bot of its own. Set up the agent in Telegram, create a Fliok API key with only the scopes it needs, and add Fliok to the agent’s MCP servers with the address https://fliok.com/api/mcp and the key. Then message the agent in Telegram, for example “who is waiting for a reply?” or “add this person as a lead”. It is on Pro and Enterprise. Everything the AI app does goes through the same permissions, plan limits, staff restrictions and audit trail as Fliok’s API. No money moves through it: it cannot buy a plan, top up the wallet or change how you pay.
Billing
8What does the plan fee cover, and who bills WhatsApp messages?
The plan fee (Basic ₹1,999 or Pro ₹4,499 a month in India, excluding 18% GST; $29 or $65 a month in US dollars outside India) pays for the platform. Invoices & receipts and Bookings are part of Basic and above, at no extra fee: 300 bills and quotations and 500 bookings a month on Basic, 1,500 and 2,500 on Pro. On Basic and above, AI usage is paid from the prepaid wallet. WhatsApp message charges are billed by Meta directly to your WhatsApp Business account, never through us; Meta does not charge for the first 1,000 service messages a month on each number, or for replies typed in the WhatsApp Business app.
Does my WhatsApp account have to be billed in rupees by 31 December 2026?
Yes, if Meta bills your business in India (the Sold-To country in Meta's Billing Hub). Meta's pricing page says every WhatsApp Business account of such a business must be billed in INR by 31 December 2026, and from 1 January 2027 Meta no longer delivers messages from the ones that are not. An account already billed in INR needs nothing. Fliok reads the currency Meta bills each connected account in, once a day. If yours is billed in another currency, Number health lists it and owners and admins see a line across the app. Meta does not change a currency in place: its currency migration copies the account into a new one billed in INR. Your number moves across, your templates are copied under new template ids, and the old account stops sending. Fliok then has to be pointed at the new account, so message us and we will do the move with you. Meta's migration does not take accounts that also use the WhatsApp Business app (coexistence); for those, message us first.
What changes in WhatsApp pricing in 2027?
Two things, and neither is a new per-message rate. If Meta bills your business in India, every WhatsApp Business account in your portfolio must be billed in INR by 31 December 2026; from 1 January 2027 Meta stops delivering the ones that are not, and Fliok warns you about any connected account still in another currency. From 13 October 2027 marketing messages leave the Cloud API for Meta’s Marketing Messages API, with the same billing model; Fliok already sends them that way, and your business accepts Meta’s terms once in WhatsApp Manager. Meta has published no 2027 rates: the pricing page shows its card in force.
Where do I add my card for WhatsApp charges?
On Meta, not in Fliok: Meta bills WhatsApp message charges directly to your WhatsApp Business account. In Fliok, open Costs in the menu. Can Meta charge you?, at the top, shows whether Meta charged for your last paid message or refused it for payment, and gives an owner or admin a button that opens Meta’s billing page for your WhatsApp Business account; there, choose Add payment method. Until a working payment method is on Meta, template messages are refused. The same page shows what Meta charged this month; your invoice comes from Meta. Owners and admins also have it in Settings, Plan & billing, on the WhatsApp charges tab: this month’s estimate, the button to your WhatsApp Business account’s payment page on Meta, and WhatsApp Manager. Where to see what ads cost: ads are paid from your ad account on Meta, separately from WhatsApp messages. In Fliok, open Ads and choose the Payments tab; Instagram ads have the same tab under Instagram, Ads, and are paid from the same ad account. It shows what Meta reports the whole ad account spent this month and last month, how the ad account pays, and gives an owner or admin the button Change payment method on Meta, with the steps. The same is on the WhatsApp ads and Instagram ads tabs of Plan & billing, with a button to Ads Manager. Meta does not charge for the Instagram messages you send and receive through Fliok.
What does WhatsApp cost through Fliok?
Two separate bills: Meta charges for the WhatsApp messages you send, and Fliok charges its plan fee and the AI you use. Fliok adds nothing to Meta’s charges and never collects them. Meta charges for each message it delivers, at a rate set by the kind of message and the country of the person receiving it. To an Indian number today that is ₹0.8631 for a marketing template and ₹0.115 for a utility template, a login code or a reply; other countries have their own rates, all in the rate table on Fliok’s pricing page. Replies are free for the first 1,000 a month on each number; Meta charges from the next one. Meta does not charge for messages customers send you, for replies typed in the WhatsApp Business app, or for what you send in the free window that opens when someone writes to you from a click-to-WhatsApp ad and you reply within 24 hours. A message that is not delivered is not charged. Meta bills the payment method on your own WhatsApp Business account, and its invoice is the authority: it also carries taxes and any discount Meta gives for high monthly volumes. Fliok charges its plan fee (nothing on Free; ₹1,999 on Basic or ₹4,499 on Pro a month in India, excluding 18% GST; $29 or $65 a month in US dollars outside India) and, on Basic and above, the AI you use from the prepaid wallet: ₹0.50 for each AI reply that is sent. To see it all in one place, open Costs in the menu. It shows what Meta charged this month, last month or between two dates, counted from Meta’s own delivery reports at its published rates: by kind of message, by number and by day, split into what it cost to send and what it cost to answer customers. It shows where the charges came from (each broadcast, template, chatbot, automation, the AI’s replies and each teammate), how many of each number’s free replies are used, and an estimate of the month’s total. Amounts are for the workspace owner and admins; everyone else sees the same messages counted. An owner or admin can download the month’s charges by day and kind. Before you send a broadcast, Fliok shows what it will cost at Meta’s rate today. You can also set a monthly budget on the Costs page: Fliok tells you when Meta’s WhatsApp charges reach 80% and 100% of it, or the levels you choose, and can hold marketing broadcasts, scheduled or sent now, once it is reached until someone sends them. A budget never holds a reply, a login code, a receipt or a booking notice.
If Fliok changes its prices, does my subscription change?
No. Your subscription keeps the price you subscribed at for as long as it keeps renewing, and Plan & billing shows what you pay. New prices apply to new subscriptions only: that includes a new checkout you start yourself, such as changing plan, switching between monthly and annual billing, or subscribing again after a plan has ended.
What happens when I reach my monthly message allowance?
Each plan sets how many outgoing messages Fliok sends for you in a calendar month: 100 on Free, 10,000 on Basic, 100,000 on Pro and no limit on Enterprise. When you reach it, sending pauses until the next month or until you upgrade, and Fliok tells you why. Incoming messages are never blocked, so you can still read every chat. The allowance is not a message bundle: Meta still bills its own message charges.
How do I cancel?
The workspace owner can cancel from Settings, Billing. Cancelling stops the next renewal; you keep the plan until the end of the period you have paid for.
