To send an invoice on WhatsApp, send the bill as a PDF and put the three things your customer needs in the message itself: the amount, the due date and how to pay. Then remind them on a schedule until it is paid, and send a receipt when it is. You can do all of that by hand from any WhatsApp account. This guide shows how, why bills sent by hand go unpaid, and how a billing app on WhatsApp does the numbering, sending, payment reminders and receipts for you.
What your customer needs before they can pay
A customer pays quickly when nothing is left to ask. Before a bill goes out, check that it answers these:
- Who is it from? Your business name, as the customer knows it.
- Which bill is it? A number of its own, so “the March one” never has to be explained.
- What is it for? Each item or service on its own line, with the quantity and the price.
- How much, exactly? The total, anything already paid, and what is left.
- By when? A date, not “soon”.
- How do I pay? Your UPI ID or a QR code, your bank details, or a payment link.
- Who do I ask? Tell them they can reply in the same chat.
Note: What a tax invoice has to carry for your business is a question for your accountant. This guide is about getting a bill seen, understood and paid.
How to send an invoice on WhatsApp by hand
- 1Make the bill as a PDF, from your billing software, a spreadsheet or a document. A PDF can be zoomed, printed and forwarded to whoever pays; a photo of a paper bill often cannot be read.
- 2Name the file with the bill number, for example INV-0042.pdf, so it can be found again in the chat.
- 3Send it as a document in the customer’s chat, not as a picture.
- 4Write a message that stands on its own. Many people never open the attachment, so put the amount, the due date and the way to pay in the text.
- 5Write down that you sent it, in one place: the bill number, the customer, the amount and the due date.
- 6Send a receipt when you are paid, even a one-line one. It closes the matter, and the customer has proof.
Messages you can copy:
- With the bill: “Hi Priya, here is invoice INV-0042 for ₹12,500 from [Business name], due on 20 October. You can pay by UPI to [your UPI ID] or to the bank account on the bill. Reply here if anything looks wrong.”
- A part payment: “Thank you, we have received ₹5,000 against INV-0042. ₹7,500 is left, due on 20 October.”
- Paid in full: “Received ₹7,500, so INV-0042 is now paid in full. Thank you!”
Why bills sent by hand get paid late
- The reminder depends on someone remembering, and on someone not minding how awkward it feels.
- Part payments live in someone’s head, so the next reminder asks for the wrong amount.
- Two copies of one bill are in the chat. A corrected bill is sent, and the customer pays the old one.
- The numbers run out of order when two people bill from two phones.
- The bill is on one person’s phone. When they are away, nobody knows what was sent.
None of this is about WhatsApp. It comes from a bill having no single record. A notebook or a shared spreadsheet, kept without fail, fixes most of it.
When to send a payment reminder
A schedule works better than a mood. Decide it once and follow it for every customer, so that a reminder is routine and never personal:
| When | What to say |
|---|---|
| A few days before the due date | A heads-up, with the amount and the date |
| On the due date | “Due today”, with the way to pay again |
| A few days after | “This is now overdue”, and ask whether anything is holding it up |
| A week or two after | A firm note, and an offer to talk it through |
- Always restate what is left and how to pay. Do not make the customer scroll up.
- Send in working hours. A reminder late at night reads as pressure.
- Stop the moment you are paid. Nothing sours a customer like being chased for a bill they settled.
- Keep offers out of it. A reminder is a notice, not an advertisement.
That last rule matters more once you send through the WhatsApp Business API. There, more than 24 hours after a customer’s last message, a business can only send a template that Meta has approved, and Meta charges for it by the template’s category and the customer’s country (Meta: pricing). A payment reminder is a utility message only while it carries no promotion: add an offer, and Meta treats the whole message as marketing (Meta: template categories).
Make paying take one step
- A UPI QR that already carries the amount saves typing, and the wrong-amount mistake with it.
- Bank details as text, so they can be copied: the account name, the number, the IFSC and the bank.
- A payment link from your own payment gateway, for customers who pay by card or net banking.
- The amount that is left, not the original total, once a part payment has come in.
How a billing app on WhatsApp does it for you
With software on the WhatsApp Business API, the bill, the receipt and the reminders are created and sent for you. This is how Invoices & receipts works in Fliok:
- 1Make the bill. Press New invoice on the Invoices page or on a lead, pick the customer and add what you sold.
- 2Issue and send. The bill gets the next number in your sequence and goes from your own WhatsApp number as a PDF with a View invoice button, and by email with the PDF attached.
- 3The customer opens the bill’s page and sees the balance, a UPI QR for the exact amount, your bank details and, once your own Razorpay account is connected, a Pay online button.
- 4Record the payment (an online payment records itself). A receipt with its own number goes out, and a part payment leaves the right balance.
- 5Reminders run by themselves: by default 3 days before, on the due date, 3 days after, 7 days after and 14 days after, each between 10 am and 7 pm in your own time zone. The balance is checked again as each one is sent, so a customer who has paid is not chased, and a reminder more than 2 days late is dropped.
A few things worth knowing:
- The money goes straight to you. Fliok never holds it, and what your bank or your gateway charges is between you and them.
- An edit keeps the old copy. Changing an issued bill makes a new version with the same number, and the earlier one stays on record.
- Tax only if you are registered. A new business starts with no tax on its bills. Say you are registered for GST and your bills become tax invoices with your GSTIN. It is not tax advice.
- A quotation first, if you send one. The customer accepts it from a link, and you raise the bill from it in one tap: the whole amount, an advance, or in parts.
- A bill that repeats. For a monthly fee or a retainer, a recurring bill raises each bill on its date and sends it. The customer pays each one the usual way: it is not an auto-debit, and nothing is ever taken from them.
- Who owes you. One list of every customer with something unpaid and how late it is, with a statement of account you can send.
- It is part of the Basic plan and above, with a monthly limit on documents (invoices, proformas and quotations): 300 on Basic, 1,500 on Pro and unlimited on Enterprise. Meta bills its message charges to your own WhatsApp account, and Fliok adds nothing to them.
- What it does not do: no auto-debit, no credit notes, no e-invoicing (IRN), no inventory and no GST returns.

Mistakes to avoid
- A photo of a paper bill.
- A due date of “as soon as possible”.
- A reminder that asks for the full amount after a part payment.
- A discount or a new offer added to a reminder.
- A corrected bill that does not say which copy is the right one.
Frequently asked questions
Can I send an invoice on WhatsApp?
Yes. Send the bill as a PDF in the customer’s chat, and put the amount, the due date and how to pay in the message itself, because many people never open the attachment. Keep a record of what you sent, and send a receipt when you are paid.
Should an invoice go as a PDF or as a photo?
As a PDF. It can be zoomed, printed and forwarded to whoever pays, and its text stays readable on any phone. Name the file with the bill number so that it can be found again in the chat.
How do I remind a customer to pay without sounding rude?
Follow one schedule for every customer, so that a reminder is routine and never personal: a heads-up before the due date, a note on the day, and follow-ups afterwards. Restate what is left and how to pay, send in working hours, and stop the moment you are paid.
Can payment reminders be sent automatically on WhatsApp?
Yes, with software on the WhatsApp Business API. More than 24 hours after a customer’s last message, a business can only send a template that Meta has approved. In Fliok, reminders go 3 days before, on the due date, 3 days after, 7 days after and 14 days after by default, and they stop when the invoice is paid or cancelled.
Can a customer pay straight from the invoice?
In Fliok, yes: the bill’s page carries a UPI QR for the exact balance, your bank details and, once your own Razorpay account is connected, a Pay online button. The money goes straight to you. You record a UPI or bank payment yourself; an online payment records itself.
Do invoices on WhatsApp cost extra in Fliok?
No. Invoices and receipts are part of the Basic plan and above, with a monthly limit on documents (invoices, proformas and quotations): 300 on Basic, 1,500 on Pro and unlimited on Enterprise. Meta bills its WhatsApp message charges to your own account, as for any message, and Fliok adds nothing to them.
