A good payment reminder message on WhatsApp says four things in one short message: which bill it is, how much is left, by when, and how to pay. It is polite, it is the same for every customer, and it stops the moment you are paid. Below are samples you can copy, in English and in Hindi, for each point in the life of a bill: a few days before the due date, on the day, after it, and every month. After them, when to send each one, what changes when you send through the WhatsApp Business API, and how to have the reminders go out by themselves.

What every payment reminder needs

  • The bill: its number and what it was for, so nobody has to scroll up.
  • The amount left: not the original total if part of it has come in.
  • The date: the due date, or how late it now is.
  • How to pay: your UPI ID, a QR code, your bank details or a payment link.
  • A way out: “If you have already paid, please ignore this message.” It saves an awkward reply.

Leave out offers, discounts and anything else to sell. A reminder is a notice. It reads as pressure when it is mixed with a sales message, and on the API it changes how Meta treats it (Meta: template categories; more on that below).

Copy these and change the names, numbers and dates. The square brackets are yours to fill in.

  • A few days before the due date: “Hi Priya, a quick reminder that invoice INV-0042 from [Business name] for ₹12,500 is due on 20 October. You can pay by UPI to [your UPI ID] or to the bank account on the bill. Thank you!”
  • On the due date: “Hi Priya, invoice INV-0042 for ₹12,500 is due today. You can pay by UPI to [your UPI ID]. If you have already paid, please ignore this message.”
  • A few days late: “Hi Priya, invoice INV-0042 for ₹12,500 was due on 20 October and is still open. Is anything holding it up? Reply here and we will sort it out.”
  • Two weeks late: “Hi Priya, invoice INV-0042 for ₹12,500 is now two weeks past its due date. Please let us know by Friday when we can expect the payment, or call us on [your number] to talk it through.”
  • After a part payment: “Thank you, we have received ₹5,000 against INV-0042. ₹7,500 is left, due on 20 October.”
  • To a business client: “Dear Mr Rao, a gentle reminder that invoice INV-0108 for ₹48,000 was due on 30 September. Could you let me know when we can expect payment? I am happy to resend the invoice or our bank details.”
  • Every month: “Hi Meera, the fee for November is ₹3,000, to be paid by 7 November. You can pay by UPI to [your UPI ID]. Reply here if anything looks wrong.”
  • The receipt, when it is paid: “Received ₹12,500, so INV-0042 is now paid in full. Thank you!”

Payment reminder messages in Hindi

UPI ID: [your UPI ID]।
UPI ID: [your UPI ID]। धन्यवाद!”
  • भुगतान मिलने पर: “₹12,500 मिल गए, धन्यवाद! बिल INV-0042 का पूरा भुगतान हो गया है।”

Write to each customer in the language they write to you in. If a customer answers in Hindi, the next reminder should be in Hindi too.

When to send each reminder

Decide the schedule once and use it for everyone, so a reminder is routine and never personal:

  • Send in working hours. A reminder at 11 at night reads as pressure.
  • Remind only the people who have not paid. Check before you send, every time.
  • Say what is left, not the original total, after a part payment.
  • Stop the day you are paid, and send a receipt.

Sending payment reminders through the WhatsApp Business API

From the WhatsApp Business app you can type any of the samples above. On the WhatsApp Business API, two of Meta’s rules shape what you send.

First, an ordinary message can only go while a customer’s 24-hour window is open: Meta says non-template messages can be sent only in an open customer service window, which opens and resets with each message from the customer (Meta: pricing). Most reminders go days after the customer last wrote, so they go as a template that Meta has approved.

Second, the template’s category. A reminder about a bill the customer already has is a utility message, and Meta’s own utility examples include a reminder of a monthly payment. But a utility template must be non-promotional, and a template that mixes a notice with a promotion is treated as marketing (Meta: template categories). So keep every offer out of a payment reminder.

A template has to fill each of its variables, and none may be blank. This is the wording of the reminder Fliok itself sends, with its five variables: the name, the bill’s number, your business, the balance and the due date.

Note: Hello {{1}}, this is a reminder about invoice {{2}} from {{3}}. The balance to pay is {{4}} and the due date is {{5}}. You can view the invoice and the ways to pay using the button below. If you have already paid, please ignore this message.

How Fliok sends payment reminders for you

In Fliok, payment reminders are part of Invoices & receipts. Once a bill is sent from your own WhatsApp number, the reminders follow it:

  1. 1They run by themselves. By default they go 3 days before, on the due date, 3 days after, 7 days after and 14 days after, each between 10 am and 7 pm in your own time zone, on WhatsApp and by email.
  2. 2They check before they send. The balance is read again at the moment of sending, so a customer who has paid is not chased, and a part-paid bill is reminded for what is left. A reminder more than 2 days late is dropped rather than sent late.
  3. 3You choose the schedule. Remove a reminder, or add one from 30 days before to 90 days after the due date, up to 8 in all, or stop them for one bill.
  4. 4Who owes you lists every customer with something unpaid and how late it is: not yet due, 1–30 days, 31–60 days, 61–90 days and over 90 days. Remind sends one customer one reminder about their oldest unpaid bill, and the dialog shows what will be sent before you press it.
  5. 5A statement of account shows a customer every bill and payment with the balance, as a PDF you look at first and then send; its link works for 90 days.

The WhatsApp reminders have fixed English wording: the one above until the due date, and after it one that says the bill “is now past its due date”. Each has a View invoice button that opens the bill, its balance and the ways to pay, and neither carries an offer, so they stay utility messages. To remind in Hindi, submit a Hindi template of your own from Templates and send it from the chat.

Invoices & receipts is part of the Basic plan and above, with a monthly allowance of bills (invoices, proformas and quotations): 300 on Basic, 1,500 on Pro and unlimited on Enterprise. Receipts, reminders and statements do not count. When only a few are left for the month, the invoice form says how many; moving up to Pro raises the allowance at once. Meta bills its message charges to your own WhatsApp account, and Fliok adds nothing to them. The details are in how payment reminders work, who has not paid, and statements and on the payment reminders page. For the bill itself, see how to send an invoice on WhatsApp; for fees that repeat, how to collect monthly fees on WhatsApp.

Frequently asked questions

How do I write a polite payment reminder message?

Name the bill, say how much is left and by when, and give the way to pay in the same message. End with “If you have already paid, please ignore this message.” Use the same wording for every customer, so that it reads as routine and never as personal.

Can I send a payment reminder message in Hindi?

Yes. Write to customers in the language they write to you in; the samples above are in Hindi and in English. Fliok’s automatic reminders go in English with fixed wording, and a Hindi reminder can be submitted as a template of your own and sent from the chat.

When should I send a payment reminder?

A few days before the due date, on the day, and a few days, a week and two weeks after, during working hours. Remind only the people who have not paid, and stop the day the money arrives.

Is a payment reminder a utility or a marketing message on WhatsApp?

A reminder about a bill the customer already has is a utility message, as long as it promotes nothing. Meta treats a template that mixes a notice with an offer as marketing, so keep discounts and new offers out of it.

Can WhatsApp payment reminders be sent automatically?

Yes, with software on the WhatsApp Business API. In Fliok they go 3 days before, on the due date, 3 days after, 7 days after and 14 days after by default, from your own number and by email, and stop when the bill is paid or cancelled.
