How to collect monthly fees on WhatsApp (tuition, gym, retainers)

Collect monthly fees on WhatsApp without chasing: one fee date, a bill each month, a reminder schedule and one list of who has not paid.

To collect monthly fees on WhatsApp, fix one fee date, send each customer their own bill on that date with the amount and the way to pay, remind on a schedule, and keep one list of who has paid. You can do all of it by hand from any WhatsApp account. This guide shows how, where it breaks down as you grow, and how a recurring bill on WhatsApp raises and sends each month’s bill for you.

Decide the rules once

Fees are collected late when the rules are made up month by month. Settle these before the next fee date, and tell every customer the same thing:

  • The fee date. The 1st or the 5th for everyone, or each person’s joining date. One date is easier to remember; a joining date is fairer to someone who starts mid-month.
  • What a month covers. “1 to 30 November”, not “November fees”, so a part month is never argued over.
  • How long they have to pay. A number of days from the fee date.
  • How to pay. Your UPI ID or a QR code, your bank details, or cash at the desk, and who gives the receipt.
  • What happens when it is late. Whatever your policy is, say it before it is needed.

Put the rules in one message and send it to every new customer when they join. A rule the customer has already read is a routine; a rule they hear for the first time in a reminder is an argument.

How to collect fees on WhatsApp by hand

  1. 1Keep one register: each customer, what they pay, their fee date, and a column for every month.
  2. 2On the fee date, message each person on their own. Amounts differ, and nobody wants their dues read by others.
  3. 3Make the message stand on its own: the name, the period, the amount, the last date and the way to pay.
  4. 4Mark a payment the day it arrives, and send a receipt, even a one-line one.
  5. 5Remind only the people who have not paid, on fixed days.
  6. 6At the end of the month, carry what is unpaid forward, so that next month’s message shows both amounts.

Messages you can copy:

  • The bill: “Hi Meera, the fee for Class 8 for 1 to 30 November is ₹3,000, to be paid by 7 November. You can pay by UPI to [your UPI ID] or at the desk. Reply here if anything looks wrong.”
  • A receipt: “Received ₹3,000 for November. Thank you!”
  • A reminder: “Hi Meera, a reminder that ₹3,000 for November was due on 7 November. You can pay by UPI to [your UPI ID]. If you have already paid, please ignore this.”
  • Carried forward: “Hi Meera, the fee for December is ₹3,000. With ₹3,000 still unpaid from November, the total is ₹6,000.”

A group or a broadcast list is tempting, because one message reaches everyone. It works for “fees are due on the 5th”. It does not work for collecting them: it cannot carry each person’s amount, it reminds people who have already paid, and a group shows everyone who has not.

Where collecting by hand breaks down

  • The fee date becomes a day of typing, and the messages go out late or not at all.
  • Part payments and old dues live in someone’s head, so the next message asks for the wrong amount.
  • Nobody can see the whole picture: who owes, how much, and since when.
  • Reminders depend on someone’s mood, and on how awkward it feels to ask.
  • People who left still get a bill, and people who joined last week are missed.

A register kept without fail fixes most of this for a small batch. Past a few dozen customers, the typing is what gives way first.

Renewals: the fee that comes once a year

A yearly membership, an annual maintenance contract or a term fee is forgotten more easily than a monthly one, because nobody is in the habit of paying it. Remind before it runs out, not after: a month before, a fortnight before and a week before, each time with the last date and what the renewal comes to. A customer who renews before the last day never has a gap; one who lapses has to be won back.

If you send through the WhatsApp Business API, the kind of message matters. More than 24 hours after a customer’s last message, a business can only send a template that Meta has approved, and Meta charges for it by the template’s category and the customer’s country (Meta: pricing). A bill for a month that is already agreed, and a reminder about that bill, are utility messages as long as they carry no promotion. A message that asks someone to renew is different: Meta lists an attempt to renew a subscription under marketing (Meta: template categories). Expect a renewal reminder to be priced as marketing, and not to reach a customer who has stopped marketing messages from you.

How recurring bills on WhatsApp work in Fliok

With software on the WhatsApp Business API, the bill is raised and sent on its date without anyone typing. This is how a recurring bill works in Fliok’s Invoices & receipts:

  1. 1Set it up once. Say what it is for, who it is for and what each bill contains, then how often: every week, every month, every 3, 6 or 12 months, or every few months.
  2. 2Choose how it ends: until you stop it, after a number of bills, or on a date.
  3. 3On each date the bill is raised and sent from your own WhatsApp number as a PDF with a View invoice button, and by email. The first one waits as a draft for you to check, unless you choose otherwise.
  4. 4The customer pays the usual way. The bill’s page shows the balance, a UPI QR for the exact amount and your bank details. You record the payment and the receipt goes out.
  5. 5Payment reminders run by themselves: by default 3 days before, on the due date, 3 days after, 7 days after and 14 days after, each between 10 am and 7 pm in your own time zone, and they stop when the bill is paid.
  6. 6Who owes you lists every customer with something unpaid, what they owe and how old it is: not yet due, 1–30 days, 31–60 days, 61–90 days and over 90 days. One tap reminds a customer about their oldest unpaid bill, and a statement of account goes out as a PDF when you choose.

A few things worth knowing:

  • It is not an auto-debit. Fliok never takes money from a customer’s card, bank account or UPI by itself. Each bill is a bill the customer pays.
  • You can pause it, skip one bill or stop it. A bill that was not raised within 7 days of its date is listed as missed, and you decide whether to raise it or skip it. A gap never turns into a burst of bills.
  • A term with an end reminds the customer 30, 15 and 7 days before its last day, on WhatsApp and by email, with a renewal bill to pay. On WhatsApp that reminder goes as a marketing message.
  • The money goes straight to you. Fliok never holds it, and what your bank or your gateway charges is between you and them.
  • It is part of the Basic plan and above. Every bill it raises counts toward the month’s documents: 300 on Basic, 1,500 on Pro and unlimited on Enterprise. Meta bills its message charges to your own WhatsApp account, and Fliok adds nothing to them.
  • What it does not do: no auto-debit or mandate, nothing added to a bill for being late, no credit notes and no GST returns.

Mistakes to avoid

  • A different fee date every month.
  • One message to a group, with nobody’s amount in it.
  • A reminder to someone who paid yesterday.
  • Old dues left out of the new month’s message.
  • An offer or a discount added to a fee reminder.
  • A renewal reminder sent after the last day, not before it.

Frequently asked questions

How do I remind parents or members about fees without sounding rude?

Tell everyone the fee date and the reminder days when they join, then follow the same schedule for every customer, so a reminder is routine and never personal. Say what is left and how to pay, send in working hours, and stop the moment you are paid.

Should I use a WhatsApp group or a broadcast list to collect fees?

Use it to announce the fee date, not to collect. One message to many people cannot carry each person’s amount, reminds people who have already paid, and in a group shows everyone who has not. Message each person on their own, with their amount and the last date.

Can monthly fee bills be sent automatically on WhatsApp?

Yes, with software on the WhatsApp Business API. In Fliok a recurring bill raises the bill on each date and sends it from your own number and by email, and payment reminders go 3 days before, on the due date, 3 days after, 7 days after and 14 days after by default. The first bill waits as a draft for you to check.

Is a recurring bill the same as auto-debit?

No. A recurring bill is a bill that is raised and sent on a schedule, and the customer pays each one the usual way, by UPI, bank transfer or a payment link. Nothing is taken from their account by itself. Fliok’s recurring bills are not an auto-debit and need no mandate.

How do I keep track of who has not paid?

Keep one register with a column for every month and mark a payment the day it arrives. Carry unpaid amounts forward, so that each new bill shows the whole total. In Fliok, Who owes you lists every customer with something unpaid, what they owe and how old it is.

When should I remind someone about a renewal?

Before the last day: a month, a fortnight and a week before, each time with the last date and the amount. In Fliok a recurring bill that has an end reminds the customer 30, 15 and 7 days before its last day, with a renewal bill to pay.
